Dinner Sunday at 7:30

The Software Freedom Conservancy is helping put together dinner for us on Sunday night. Right now, we're tentatively set for 19:30 at Chez Leon, although that is not yet confirmed. This dinner will be paid for by the Wine Party Fund, so it's a Wine party! I gave them a 'guess' of 25 people. It would be helpful to have a more accurate estimate. To that end, please reply to me privately and let me know if you plan on coming to the Sunday night dinner. Thanks! Jeremy

Starting this year, we really want to record *everything*. Including your devroom. That requires at least one, but preferably two or more, volunteers to man the video gear. It's not difficult. I've already sent out a few mails with details to all our other volunteers; please see <https://lists.fosdem.org/pipermail/video/2014-January/000078.html> and <https://lists.fosdem.org/pipermail/video/2014-January/000163.html>. If you're going to be in the Wine devroom most of the day anyway, you would be a perfect candidate -- even if you have no prior A/V experience: there will be a training session, there will be documentation on how everything works, and we'll be there to help you should things go wrong. If you don't have the time to put in a whole day, but can do half a day or even just a few talks, that's also helpful; if there's more than one of you doing so, you'll probably manage a full day. Note that if there is no video volunteer at all this year, this will be taken into account when we need to decide whether Wine will be able to get a devroom next year. Plan for Saturday

Folks, We have no formal plan for Saturday. You are all expected to be in our room (AL W 120, afairc), by 9:00 am on Sunday. Andre suggested that some group of interested parties meet in the lobby at 9:30 to travel to FODSDEM together. Hans also advised that if you walk North about a block, you'll get to a metro stop, where you can go down and buy tram tickets. He purchased two round trip tickets; one for Saturday, and one for Sunday; that may be your most economical choice. Also, recall that we take the 92 or 94 to Louisa, get off, and then take the 92 or 94 on to ULB. (Yes, that sounds wrong, but yes, it's right). Cheers, Jeremy

Your room Your room should already be equipped with a projector. If this is not the case, or it is malfunctioning, please contact us as soon as possible. House rules First aid: In case of an emergency, stay calm. Make sure the attendees are safe and contact the nearest infodesk as soon as possible. We have Red Cross volunteers on-site. Room capacity: Your room has a capacity limit. Please make sure the number of people present in your room never exceeds this limit. We will provide you with a sign that indicates the room is full. Please hang this sign on the entrance door and make sure it is being respected. Do not take this lightly. The event can be cancelled if the guards notice a dangerously overcrowded room. Safety: Do not block the exits. Do not allow the pathways in your room to be obstructed. Some rooms have had problems with high temperatures. Unfortunately there is nothing we can do about that. Should this occur, please try to leave the door open while keeping new visitors out. Trash and bottles: We will provide you with garbage bags. Make sure you and your attendees use them. Please keep your devroom clean and tidy. Glass bottles are collected at drop-off points in the hallways. Do not throw these in the garbage bags. Ask visitors to bring them back to the nearest drop-off point, the cafetaria, or an infodesk. Closing and cleanup Saturday: The devroom schedules end at 19:00. By 19:30 everyone should be out of the building. We will all be very hungry, please respect this timing! Sunday: The devroom schedules end at 17:00. The closing talk ends at 18:00. Please clear your room by 18:30 at the latest. Cleanup: Please leave your room in the state that you received it. We kindly ask that you collect all the trash and put it in garbage bags outside your room. Keep glass bottles may not be put in garbage bags, please put them at a drop-off point in the hallway. There will be a broom in the hallway, should a quick sweep of the floor or tables be needed. If you are in the K building, please put all folding chairs in the racks outside and redistribute the tables. If every devroom takes a little time to clean up the room, you will save the FOSDEM staff hours of work! FOSDEM Arrival times

Myself, Aric, Vincent, Caron, Josh, and Andrew are all on the same flight from Minneapolis and we in theory arrive at 2:20 pm on Friday. With luck, I imagine we'll be at the hotel by 3:30. It's nice if folks can share their arrival time; it's nice to know to look out for someone. That's particularly important if you're new or new-ish. Cheers, Jeremy

FOSDEM plan

The basic plan for FOSDEM is as follows: Friday afternoon / evening: Congregate in the hotel lobby Small groups break off for dinner as events unwind The non jet lagged folks go out for night fun after the jet lagged ones crash Saturday: Morning: the hotel provides breakfast; we usually meet informally during that time. I don't recall the exact time range. Day: Everyone is on their own, but feel free to chatter about plans on this mailing list. It's nice to travel together. Sunday: We start in our room (AW1.120) at 9:00, and we'll finish about 17:00. We (hopefully) have a reservation for 25 people at Chez Leon at 19:30 on Sunday, for those that are staying on. Hotel for FOSDEM

Hi Folks, The nature of FOSDEM means that people can stay wherever they like. And the FOSDEM page itself lists a bunch of places, including a bunch of inexpensive options. However, I thought it would be useful to pick a 'default' hotel; that's where I and all the CodeWeavers folks will be staying, so other people from Wine might want to stay there as well. We have chosen the Best Western Hotel Royal Centre: http://www.royalcentre.be/ It's fairly close to the Grand Place, which Wolfram suggested. It is a fair way from FOSDEM itself. But I gather that most hotels are, so we're not unique in that regard. Google transit suggests it's faster on the public transit (30 minutes) than the hotel Mozilla used last year, so it doesn't seem worse than most. We were quoted a rate of 89 Euros per night, and we were told that rate would be offered to anyone else that called. Of course, we're fairly naive, so maybe you can get an even better deal...<grin> You may need to call or email them; when I tried their online system yesterday, it wasn't working. One key feature of this hotel was a bar, which means people have a place to connect. So that's where I'll be on Friday, testing Alexandre's claim that Belgian beers are the best... <grin> Cheers, Jeremy

Could I get a volunteer to help me with name tags?

I'm wondering if someone would be willing to help out with name tags for FOSDEM. The Wine project can pay the costs. I'm thinking of just buying cheap name tag holders, and pre-printing (with a nice logo, of course) name tags for people we know will be there. And then having blank ones (with the nice logo, of course) for guests to our devroom. Any takers? Cheers, Jeremy
